How does an AI receptionist work?
You forward your business line so that calls ring your own phone first, and if you do not pick up within a few rings they go to the AI receptionist instead. It answers, talks to the caller, collects their name, number and reason for calling, and sends you that summary by text and email. Nothing changes about your phone number and no new hardware is involved.
The setup, once
You keep the number you already advertise. Call forwarding on your existing line sends unanswered calls onward — the same feature you would use to send calls to a mobile. That is the whole installation. There is no box, no handset and no new number to reprint on your van.
You tell it your business name, roughly what you do and your hours, so it greets people as your company rather than as a generic service.
What happens on a call
Your phone rings first. Answer it and nothing else happens — the AI never gets involved. That matters: this is not all-or-nothing, and you are not handing your phone over.
If you do not answer, it picks up. It asks who is calling and what they need, keeps the caller talking long enough to get the useful details, and ends the call. Then the summary arrives on your phone.
When several people ring at once
This is where it differs sharply from a person. A receptionist takes one call at a time and everyone else waits. Software does not queue — the fifth caller in a minute is answered in the same second as the first.
For trades with spiky demand this is most of the value. The first hot day of the year, or the hour after a storm, is when the calls arrive all at once and when a busy signal costs the most.
Common questions
Do I need a new phone number?
No. It works with the line you already have, using call forwarding, so the number on your van and your website stays the same.
Does it answer every call, even ones I could take?
Only if you want. Calls ring your phone first — answer and the AI is never involved. It picks up what you miss.
What if two people call at the same time?
Both are answered at once. There is no hold queue and no busy signal, which is the main practical difference from a human answering service.
